The real business problem

Make payroll reviewable, not just a number

Data, policies, the payroll period, approval and financial impact are separate stages, each with its own record and owner.

Payroll cycles and preparation

Employee data errors should not be discovered after payroll approval.

Payroll cycles and run readiness

Final pay is the result of an approval chain, not a single button click. The cycle starts with the payroll period, employee data, pay structure, time, leave and variable inputs, then moves through readiness checks, calculation, variance and exception review, and approval documentation. Dashboards show employees who are not ready for payroll, sources of discrepancies and comparisons with previous periods. Payslips and financial entries are presented as distinct records; neither review nor approval is assumed to prove bank disbursement.

How does the process move?

We start with a readiness check, then calculate payroll, handle exceptions and review variances, keeping approval separate from disbursement.

OutcomeAn auditable payroll cycle with clear responsibilities.

02 / 05How the process works

Payroll disbursement

Calculating payslips does not prove that employees have received their salaries.

  1. Inputs and data
    • Approved payroll run
    • Disbursement document
    • Transfer reference or bank evidence, where available
  2. How does the process move?

We keep payroll approval separate from creating disbursement evidence, reconciliation and pending statuses.

  3. Outputs and documents
    • Disbursement status log and reconciliation documents, where implemented
Cases that need review
  • Payslip issued without a transfer
  • Amount discrepancies
  • Missing bank evidence

There is an accounting and operational distinction between salary accrual and disbursement. A Salary Slip can be issued and a payable recorded without funds having been transferred to the bank. This section explains the evidence chain required after payroll run approval: a payment reference, if available, the financial document, settlement status and any variances. The phrase "Salaries have been transferred" appears in customer-facing material only with matching, confirmed transfer evidence.

OutcomeAn accurate view of settlement status without unverified payment claims.

03 / 05How the process works

Saudization and Saudi compliance

Regulations change, and having a form is not enough to confirm compliance.

The Saudi environment requires data, policies and rules tied to dates and official authorities. But having lists that mention GOSI, WPS or end-of-service does not amount to an approved implementation of the rules or an active connection to government platforms. This section explains the rule version control, source review, integration and evidence required for Saudization, then clearly identifies what is complete and tested and what remains in configuration or development.

How does the process move?

We bring together settings, evidence and regulatory outputs by version and effective date.

OutcomeTracking readiness and required documents without unverified compliance certification.

Inputs and data
Dated Saudi policy files, Employment/subscription data, WPS/GOSI requirements, when approved
Outputs and documents
Review records and internal evidence, Integration or official file only with independent evidence

04 / 05How the process works

Compensation and benefits

Compensation and benefits require a budget, equity and separate approvals.

Who works here

  • Compensation Manager
  • Finance
How does the process move?

We link pay components, allowances and compensation plans to review, approval and their impact on the employee.

Pay and benefits decisions require a job reference, a budget, approval authority and an effective date. An increase is not shown as an isolated item; it is linked to the grade, employee and change log. Administrators can compare proposed and approved amounts and review compensation allocations, but viewing a report does not mean approval has been granted or payroll updated without a verified underlying workflow.

OutcomeDocumented compensation decisions clearly presented in the employment record.

05 / 05How the process works

Advances, claims and loans

Settlement stalls when advances and expenses are not linked to approval and disbursement.

  1. Inputs and data
    • Employee Advance
    • Expense Claim
    • Documents and authorizations
  2. How does the process move?

The employee submits the claim, the responsible reviewer checks it, and we then track the balance, outcome and related accounting entries.

  3. Outputs and documents
    • Approved/rejected request
    • Settlement through the underlying accounting workflow, if verified
Cases that need review
  • Missing attachment
  • Duplicate request
  • Unverified settlement
Process diagram from the section brief — not a product screenshot

An advance or claim starts with the requester, amount, attachments and reason, then moves to review, authorization and linking to the financial record. The design emphasizes the need to explain each status: submitted request, approved request, accounting document, settlement or payment. These statuses are not equivalent; approving a claim does not automatically mean it has been disbursed or posted.

OutcomeTracking amounts and statuses without duplicate financial engines.
